Cancellation Policy

At Himalayan Derive, we understand that plans can change. However, organizing a trek or expedition involves advanced arrangements, logistics, and permits. To ensure fairness to both our trekkers and our team, we have established the following cancellation policy:

Cancellation by the Participant

If a participant wishes to cancel their booking, the following refund policy will apply:

  • Before 30 days of departure: 90% of the total trip cost will be refunded.
  • Between 21 to 30 days of departure: 70% of the total trip cost will be refunded.
  • Between 11 to 20 days of departure: 50% of the total trip cost will be refunded.
  • Between 0 to 10 days of departure or no-show: No refund will be provided.

Cancellation by Himalayan Derive

In case of unavoidable circumstances such as natural disasters, landslides, road blockages, political unrest, or any event beyond our control, Himalayan Derive reserves the right to cancel or modify the trek for safety reasons.

If we cancel a trek before departure, trekkers will receive a full refund or the option to transfer the booking to another batch or trek of the same value.

In case the trek is terminated midway due to unforeseen reasons, we will provide the best possible refund based on the services not utilized.

Transfer of Booking

Bookings can be transferred to another person at least 10 days prior to the departure date, subject to approval and availability.

The new participant must meet the eligibility criteria for the trek.

Refund Process

All applicable refunds will be processed within 7–10 working days after the official cancellation request is received via email or WhatsApp.

Transaction fees, GST, and payment gateway charges (if applicable) are non-refundable.

Non-Refundable Components

Permit charges, accommodation booked in advance, and transportation costs are non-refundable in all cases once confirmed.

  • Read the trek itinerary carefully.
  • Purchase travel and trek insurance for added security.
  • Avoid last-minute cancellations to prevent logistical losses for our local team and support staff.
